Terms and Conditions

1. Introduction

Welcome to Integrate Academy. These Terms and Conditions (“Terms”) govern your use of our training services and courses. By enrolling in a course or accessing any of our content, you agree to be bound by these Terms.

Our Level 3 Pilates mat course is accredited by Active IQ. The qualification is Government-approved (on the QCF), endorsed by Cimspa, regulated by Ofqual, internationally recognised and is sought after by employers.

Our Reformer Teacher Training course is professionally endorsed by Active IQ, assuring you of the highest delivery standards and has been underwritten by the expertise of Charlotte Batten and Quality Assurer Clare Francis.

All of our tutors are fully qualified teachers, trainers and/or assessors.

2. Definitions

“Academy” refers to Integrate Training Academy.
“Student” refers to the individual enrolling in or attending the course.
“Course” means any training, workshop, webinar, or program offered by the Academy.

3. Enrolment and Acceptance

Enrolment in any course is subject to acceptance by the Academy on a first come first served basis.
Following payment you will sent a link to an intake form including a health questionnaire. This must be completed prior to your enrolment being accepted.
Confirmation of enrolment will be provided via email once payment is received and processed and the intake form is completed.
The Academy reserves the right to decline admission to any student at its discretion. Please ensure you meet the pre-requisites required to apply for the courses. They are clearly stated on our course pages. For our 100hr Reformer if your anatomy qualification is more than 3 years old it is mandatory to do L3 anatomy as part of your training for an additional fee.
By making an application over the phone, by email or through the website, you warrant that: you are legally capable of entering into binding contracts; and you are at least 18 years old.

4. Payment and Fees

Prices are subject to change. Once enrolled and paid in full or your first instalment of a payment plan your fee will not be affected by future pricing changes.
Payment methods include credit/debit card, payment plans and any methods indicated during registration.
Fees paid via a payment plan must be paid in accordance to the payment schedule.
Only after the payment plan is complete will you be able to access your certificate.
Failure to adhere to the payment schedule will result in you being unable to complete the course.

5. Cancellations and Rescheduling Policy.

Deposits

Deposit: 25–40% of the total course fee (dependent on payment plan).
Deposits are non-refundable.
Deposits secure the student’s place and cover administration and manuals/resources.

Cooling-Off Period

Students have a 14-day cooling-off period from the date of purchase.
Refunds during this period may exclude the cost of manuals or resources already issued.
The cooling-off period ends once the course has started.
Once the cooling-off period has elapsed all courses are non-refundable.

Course Transfers / Rescheduling

More than 6 weeks before the course start date: transfers allowed with a £150 admin fee.
Between 2–6 weeks before the course start date: transfers allowed only if the place can be refilled. The transfer fee will be 20% of the course cost (capped at £250).
Please note if you have booked a course bundle you will be required to pay the transfer fee for each individual course if you are requesting to move both your mat and reformer.
Less than 14 days before the course start date: transfers not permitted except in exceptional circumstances at the discretion of Integrate Academy.

Number of Transfers Allowed

Students may transfer their course booking once only.

Referral / Reassessment Fees

Theory referral: £25 per unit.
Mat practical referrals: £200 (due to assessor, admin & venue hire costs).
Reformer practical referrals: £200 (due to assessor, admin, equipment & venue hire costs).

Completion Time Limits

CPD courses should be completed within 6 months of starting the in-person dates.
Full qualifications should be completed within 12 months of starting the in-person dates.
Extensions may be granted subject to an extension fee of approximately £100–£250 course dependent.

Missed Training Days

Missed training days are non-refundable.
Students may attend a replacement day on another course subject to availability.
Replacement fees: –£150 per Mat day and Reformer/Tower day.
1-1 Sessions will be £50 per hour. To cancel a 1-1 session Integrate Academy require 48 hours notice of cancellation or the full fee is charged.

Deferral Process and Fee

Integrate Academy request if you need to defer your attendance to a later course you notify us in writing at least 30 days prior to the start date of your course. All deferrals are subject to a deferral fee and space on the next available dates.
Integrate Academy fees cover the administrative costs associated with the transfer process, re advertising your space, and honor financial and contractual obligations to our tutors and venue suppliers.
Integrate Academy request if you need to defer your assessment to a later date we request 30 day’s notice and you notify us in writing.If it is less than 30 days Integrate Academy charge a deferral fee of £100.

Academy Cancellations

If a course is cancelled by the Academy, students will receive a full refund or the option to transfer to a future course.

6. Accommodation Booking & Cancellation Policy

Accommodation booked through Integrate Academy for training courses is subject to the following terms and conditions. By confirming a booking, students acknowledge and accept this policy.

14-Day Cooling-Off Period

Students have the right to cancel their accommodation booking within 14 days of making the purchase and receive a full refund, provided the accommodation start date is not within that 14-day period.
If the accommodation booking is made within 14 days of the accommodation start date, the cooling-off period does not apply once the booking has been confirmed.

Cancellation Policy More Than 30 Days Before Arrival

Cancellations made more than 30 days before the accommodation start date are eligible for a full refund of all accommodation fees paid, conditional upon Integrate Academy being able to refill the room booking.
If the room cannot be refilled, no refund will be issued.

Between 14 and 30 Days Before Arrival

Cancellations or Deferrals made between 14 and 30 days before the accommodation start date are eligible for a 50% refund of accommodation fees paid, conditional upon Integrate Academy being able to refill the room booking.
If the room cannot be refilled, no refund will be issued.

Less Than 14 Days Before Arrival

Cancellations or Deferrals made less than 14 days before the accommodation start date are non-refundable.

Transfers & Changes

Accommodation bookings are non-transferable to another person unless agreed in writing by Integrate Academy.
Requests to change accommodation dates are subject to availability and may incur additional charges.

Integrate Academy Cancellation

If Integrate Academy is required to cancel the course or accommodation arrangement, students will receive a full refund of any accommodation fees paid to the academy. The academy is not responsible for any additional personal costs incurred, including travel expenses or third-party bookings.

Recommendation

To protect against unforeseen circumstances, students are strongly advised to take out suitable travel and cancellation insurance at the time of booking.

7. Course Changes

The Academy reserves the right to make reasonable changes to course content, schedule, and instructors.
Any significant changes will be communicated in advance.

8. Attendance and Conduct

Students are expected to attend all sessions and behave professionally.
If students miss part of their course they will have to book a course replacement day subject to availability (£150) or book a 1-1 with their tutor to make this up. The fee is £50 per hour for catch up sessions.
The Academy reserves the right to remove students for disruptive, disrespectful, or inappropriate behaviour with no refund.

9. Intellectual Property

Course materials, including videos, slides, and handouts, are the property of Integrate Academy.
The photos in the Integrate mat manual are property of Integrate Academy.
These materials are provided for personal, non-commercial use only and may not be copied, distributed, or reused without permission.

10. Liability

The Academy accepts no liability for any personal injury, loss, or damage incurred during attendance at the course, except where caused by negligence.
Students are responsible for ensuring they are physically and mentally fit to participate in any practical training.

11. Data Protection and Privacy

Personal information collected during enrolment is handled in accordance with our Privacy Policy.
We do not share your information with third parties except where necessary for course delivery or where legally required.

12. Certificates

Certificates will be issued upon successful completion of the course requirements at the following rate:
The Academy reserves the right to withhold certification if students fail to meet attendance or assessment criteria.
Should a student wish to appeal the result of an assessment decision, please refer to our appeals policy.
Any student taking part in the pre-recorded assessments or practice videos at home to support their learning do so entirely at their own risk. Please ensure you have enough clear space around you (at least 2m x 2m), no trip hazards or breakables, wear suitable clothing and a Pilates mat with a suitable grip. Please also be aware that a studio setting is usually warmer than a home setting so you may not be able to stretch as far. Please ensure you have medical clearance to take part in Pilates classes. By taking part in pre-recorded videos at home, you are consenting to do so entirely at your own risk.
If a student provides less than 4 weeks’ notice to change their final assessment date, a fee of £100 will be due.

13. Governing Law

These Terms are governed by and construed in accordance with the laws of United Kingdom and any disputes will be subject to the exclusive jurisdiction of the courts in that jurisdiction.

Our failure to enforce any right or provision of these Terms will not be considered a waiver of those rights. If any provision of these Terms is held to be invalid or unenforceable by a court, the remaining provisions of these Terms will remain in effect. These Terms constitute the entire agreement between us regarding our Service and supersede and replace any prior agreements we might have had between us regarding the Service.
